FMS
Last updated 18 September 2026
This policy explains what personal data the FMS platform and the FMS Driver mobile app collect, why, who can see it, and what you can ask us to do with it. It is written to be read, not to be survived — if anything here is unclear, ask us and we will explain it.
Who is responsible for your data
FMS is operated by [TO CONFIRM: registered company name], registered in [TO CONFIRM: country] at [TO CONFIRM: registered address] (company number [TO CONFIRM]).
FMS is used by transport companies to run their own operations. In data-protection terms this means there are two roles, and which one applies matters to you:
- The transport company you work for or booked with is the data controller. They decide what jobs exist, who drives them, and who inside their business sees what.
- FMS is the data processor. We store and process that information on their instructions, and we do not use it for our own purposes.
If you are a driver and you want your data corrected or erased, you can ask us and we will help — but the decision usually rests with the company that engaged you, and we will pass your request to them.
What the driver app collects
Location — including while the app is closed
The FMS Driver app collects your device’s precise location. This is the reason the app exists: your dispatcher needs to know where the vehicle is, and a guest waiting to be collected can be shown the car approaching.
Location is collected while the app is open, and while a job assigned to you is in progress — from the moment you set off to the moment the passenger is dropped — even if the app is closed or your phone is locked. Android shows a permanent notification for the whole time this is happening, so you can always tell. When your last active job ends, background location collection stops on its own; you do not have to remember to switch it off.
We do not collect your location when you have no job in progress and the app is closed. You can refuse or withdraw location permission at any time in your phone settings — the rest of the app keeps working, but dispatch will not be able to see where you are, and the company you drive for may require it for the work.
Your account and contact details
Your name, phone number, email address and, where the company you work with records them, your employment or supplier relationship, vehicle, licence and any documents they ask you to upload.
Job information
The journeys assigned to you: times, pickup and drop-off addresses, flight numbers, passenger names and any notes or special requests the booking carries, plus the statuses you set as the job progresses.
Technical and security information
Sign-in times and outcomes, a record of changes made to bookings (who changed what and when), and basic device information needed to deliver the service. We keep these to keep accounts secure and to be able to answer “who changed this booking?”.
If you are a passenger
Your name, contact number and any requirements given at the time of booking are held so the journey can be run — a driver needs to know who they are meeting and where they are going. Where a tracking link is shared with you, it shows the position of the vehicle assigned to your journey and nothing else.
That information is given to FMS by the company that took your booking. Requests about it should go to them; we will help them answer you.
Why we are allowed to hold it
We process this data to perform the contract between you and the company you work for or booked with, and on the basis of that company’s legitimate interest in running a transport operation safely and accountably — knowing where a vehicle is, proving what was agreed, and being able to answer a dispute.
We do not sell personal data, and we do not use it for advertising or profiling.
How long we keep it
Booking and job records are kept for as long as the company you work with needs them for its own accounting and legal obligations, and are deleted or anonymised after that.
[TO CONFIRM: location history retention — how many days of driver position history FMS keeps before automatic deletion. This must be a real, automated deletion, not an intention. Nothing currently deletes it.]
Drivers, vehicles and other records removed by a company are archived rather than destroyed, so that historical bookings still make sense and can be restored if removed by mistake.
Your rights
If you are in the UK or the European Economic Area you have the right to ask for a copy of the personal data held about you, to have it corrected if it is wrong, to have it erased, to object to how it is being used, and to have it sent to another provider. You can also complain to your national data-protection authority.
Ask the company you work for or booked with first, since they decide what happens to it. If you would rather come to us, write to the address below and we will act on it or pass it on, and tell you which.
How it is protected
Data is encrypted in transit. Access is restricted to the company that owns it — one company using FMS cannot see another’s drivers, bookings or vehicles. Inside a company, what each person can see and change is set by their own administrator. Sign-in is protected by rate limiting, account lockout and optional two-factor authentication, and changes to bookings are recorded against the person who made them.
Children
FMS is a tool for professional transport operations and is not intended for, or directed at, children. We do not knowingly collect data about children except where a passenger name on a booking happens to be a minor travelling with a family.
Changes to this policy
If we change how we handle personal data we will update this page and the date at the top. Where a change is significant we will tell the companies using FMS directly.
